Accurate quarterly wage data helps protect businesses and workers and powers Alabama’s economic growth. Provided are reporting file specifications to help you correctly fill out and submit your report.
Wage Reporting Specifications
- Your file should be a standard text file with a .txt extension. PDF, Word or Excel files will not process. You may export from an Excel file.
- A record in your text file is one line of text and should be padded with spaces to the file record length. For example: “80 , 275 characters,” depending on which format you use.
- Exact positioning within the record is critical for the data to process correctly.
- The file specification gives you the exact position and length of each piece of data needed.
- If a piece of your data is less than the specified length, then it must be padded to the exact length in the format specification. Remember position and length are important.
- Wage amounts (money) and totals are always right justified and padded on the left with zeros.
- SSNs, FEINs and Alabama UC account numbers are left justified if needed and can be padded on the right with spaces or zeros (usually not needed).
- No punctuation is allowed in SSNs, FEINs, UC account numbers and wage dollar amounts.
- All SSNs are nine digits.
- All FEINs are nine digits.
- All UC account numbers are 10 digits.
- All other data (text) is left justified and padded on the right with spaces.
File Formats
These documents are condensed to show exactly what Alabama expects to find in your wage files. Sample text files are provided as an additional reference.
Note: Adobe Acrobat Reader is needed to view the PDF files. Download text samples by right clicking and selecting “Save Target As” or “Save As” in the menu. View text files accurately through a program like Microsoft Notepad. Make sure “word wrap” is turned off and the status bar is turned on to reference the character positioning.
